Virtual Administrative Assistant

EA Society is seeking a skilled and detail-oriented Virtual Executive Assistant to join our team on a subcontractor basis. This role will support a specific client by providing dedicated administrative support, ensuring seamless operations, and enhancing their experience. Hours will range between 15-35 per month, based on the client’s needs, making this an ideal opportunity for a highly organized and proactive individual who thrives in a flexible, remote work environment.

Key Responsibilities:

  • Conduct weekly 1:1 check-ins with the client (30-45 minutes) to align on priorities and tasks.

  • Maintain and update client booking spreadsheets to ensure accuracy and timeliness.

  • Light project management (tracking contract completion dates/ sending out end-of-engagement surveys, etc).

  • Verify and correct Zoom links on all meeting invites for seamless virtual engagements.

  • Prepare and deliver weekly reports to the client, highlighting open items and potential bottlenecks.

  • Compile monthly reports detailing hours spent on coaching-related tasks.

  • Provide off-site support, including transcribing notes from meetings or events (no travel required).

  • Collaborate with Abby to ensure continuity and quality of service.

  • Serve as a backup assistant when/ if another assistant is out of office, ensuring uninterrupted support for our clients.

Required Skills & Qualifications:

  • Proven experience as a virtual assistant or in an administrative role, preferably supporting business owners or executives.

  • Exceptional organizational and time-management skills, with a keen eye for detail.

  • Proficiency in spreadsheet tools (e.g., Google Sheets, Excel) for managing bookings and reports.

  • Strong written and verbal communication skills for professional client interactions.

  • Familiarity with Zoom and calendar management tools such as Calendly to ensure accurate scheduling.

  • Ability to work independently while collaborating effectively with the lead assistant.

  • Proactive problem-solving skills to identify and address bottlenecks efficiently.

  • Experience with transcription or note-taking is a plus.

  • Familiarity with working within Asana is a requirement.

  • Experience with platforms such as Zoho, Slack, and Zendesk is a plus (but not required).

Hours and Compensation:

  • Hours will range from 15-35 per month, based on the client’s needs

  • Compensation starts at $22 per hour
