Virtual Executive Assistant

EA Society is seeking a remote, reliable, and detail-oriented Executive Assistant for a long-term part-time position (15–20 hours per month, minimum one-year commitment) to join our team on a subcontractor basis. This role will support a California-based executive coach by managing her calendar, client scheduling, travel, and light administrative tasks using established processes and SOPs already documented in Asana. The ideal candidate has prior experience as an EA or administrative assistant and is ready to learn and execute the existing systems efficiently.

Key Responsibilities:

  • Manage the executive coach’s calendar and client scheduling for all coaching sessions and appointments.

  • Coordinate travel management: booking flights and hotels and adding them to the calendar.

  • Handle personal appointments, including booking doctors’ appointments and submitting superbills to insurance (approximately 1–2 times per month).

  • Provide light project management and task tracking using Asana.

  • Compile and prepare a weekly report summarizing the status and progress of each coaching client in their coaching process.

Required Skills & Qualifications:

  • Must be based in the Pacific or Mountain Time Zone.

  • College graduate (recent or new graduates are welcome).

  • Prior experience as an Executive Assistant or Administrative Assistant (preferred).

  • Strong written communication skills with the ability to produce error-free writing.

  • Experience using Asana (preferred).

  • Tech-savvy with proficiency in standard office and project-management tools.

  • Exceptional organizational skills, proactive and clear communication, sound independent judgment on what can be handled autonomously versus escalated, and an unwavering commitment to confidentiality (given the sensitive nature of executive coaching relationships and client information).

  • Ability to maintain existing processes and procedures without needing to create new ones.

Hours and Compensation:

  • Approximately 15–20 hours per month.

  • Compensation is flexible ($25–$40 per hour) and will be discussed based on experience and scope of work.

Virtual Executive Assistant- Maternity Leave Coverage

EA Society is seeking a remote, reliable, detail-oriented Executive Assistant to provide maternity leave coverage on a subcontractor basis from mid-May to August this summer. This role will support a specific client by managing their calendar, logistics, client onboarding, and ongoing support in a fully remote capacity. Hours will vary based on the client’s needs (approximately 20–30 hours per week), making this an ideal opportunity for a flexible and self-motivated individual.

Key Responsibilities:

  • Provide meticulous calendar and logistics management: scheduling and rescheduling calls, meetings, workshops, and travel (including proposing flights, coordinating hotels and bookings), offsite logistics (venues, timing, materials, dietary needs, ground transport), and occasional personal appointments while proactively confirming acceptances and following up with assistants as needed.

  • Act as the main point of contact for client onboarding and ongoing support: sending personalized welcome materials, tracking completion of required assessments, scheduling and conducting periodic check-in calls or emails (including monthly video calls with larger clients), and addressing ad-hoc requests to sustain strong relationships and quickly resolve issues.

  • Compile and analyze data, prepare reports or decks, and run project management for select engagements using tools like Asana (tracking milestones, chasing deliverables, and updating stakeholders).

  • Maintain detailed client trackers (contracts, session usage, renewal dates), prepare and ship physical client resource folders, and monitor relevant alerts.
